Most disagreements between a customer and a rental company happen not at pick-up but at drop-off. A tank a quarter emptier than at departure, a scratch nobody can account for, a two-hour delay against the time in the contract: each one turns into a sum added to the final invoice. The good news is that almost all of them can be avoided with a little organisation. Below, as a checklist, are the ten things we look at ourselves whenever a car comes back to us.
The day before you return the car
1. Re-read the contract
Not at signing, but the day before drop-off. Look for four things: the time and place of return, the fuel policy (full-to-full or otherwise), the mileage limit if there is one, and the conditions under which the deposit can be withheld. If anything is unclear, a phone call to the company is cheaper than a discussion at the counter.
2. Budget your time generously
Handing back a car does not take two minutes. On top of the drive itself, add time for refuelling, a possible queue at the station, traffic and the inspection. If you are flying out of Chisinau, work backwards: from your check-in time subtract the drop-off time, and only then decide when to leave the hotel.
3. Keep your documents together
The contract, the handover report signed at pick-up, your driving licence and ID. A photo of the contract on your phone is useful, but you sign the original at the end, so keep it within reach.
A few hours before
4. Refuel as close to the drop-off point as possible
If you collected the car with a full tank, return it the same way. Pick a station a few kilometres from the return location, not one on the way out of another town; on Moldovan roads a full tank can visibly drop over a hundred kilometres. Keep the receipt, it is the simplest proof if a question comes up.
5. Clean the interior and empty the car
Not a full valet, just a reasonable state: no rubbish, sand, food remains or stains. Then check the glovebox, door pockets, under the seats, the boot and the cup holders. Chargers, sunglasses, toys, the hotel parking card: those are the items we find left behind most often.
6. Do the first inspection yourself
Walk around the car in good light and compare it with the pick-up report. If you spot new damage, do not hide it; mention it straight away. If your contract includes CASCO insurance or an excess, you already know the maximum cost, and honesty shortens the conversation considerably.
7. Photograph everything
All four sides, the wheels, the windscreen, the interior, the dashboard showing mileage and fuel level. Time-stamped photos settle any later disagreement.
At drop-off
8. Return the car exactly where agreed
If you arranged drop-off at the airport, your hotel or the company office, stick to it; a last-minute change can mean a delivery fee or a pointless wait for the colleague coming to collect the car. If you need to change the place or time, say so as early as you can.
9. Be present for the final inspection
The company representative checks the exterior, interior, fuel and mileage. Stay with them: if they have questions you can answer on the spot and show your photos. A "leave the keys in the box and go" return is convenient, but it means the inspection happens without you.
10. Sign the return report and keep a copy
The return document records the car's condition, mileage and fuel level and marks the moment from which you are no longer responsible for the vehicle. Read it before signing and keep your copy at least until the deposit has been fully released.
Why it is worth the effort
The ten points above take under an hour in total and spare you charges nobody enjoys paying. At TopRent the return process is quick and simple, and the deposit is released as soon as the inspection confirms the car came back in the condition it left in. If you have questions about return conditions before booking, our team in Chisinau is happy to help.
